This guide provides step-by-step instructions on how you can set up your own bot using Dialogflow.
Plus tips on testing, integrating, and improving your chatbot so it helps your team and customers.
Whether you’re just starting out or looking to level up your support game, this guide makes AI-powered automation easy and practical.

Step 1: Choose Your AI Chatbot Platform
Popular platforms include:
- Dialogflow (Google Cloud): Powerful NLP, easy integration
- Microsoft Bot Framework + Azure AI: Enterprise-grade, customizable
- Zendesk Answer Bot: Built for support teams
- Intercom Custom Bots: Friendly UX, no-code options
- ManyChat or Chatfuel: Good for quick setups, Facebook/website bots
For this demo, I’m using Dialogflow’s free tier.
Step 2: Set Up Your Dialogflow Agent
- Go to the Dialogflow Console.
- Click Create Agent and give it a name. (E.g., SaaS Support Bot)
- Select your default language and timezone.
- Click Create.
Step 3: Define Intents (Support Query Topics)
Intents map user questions to answers or actions.
- Click Intents → Create Intent.
- Name it, Password Reset.
- Under Training Phrases, add variations, such as:
- How do I reset my password?
- Forgot my password
- Password help
4. Under Responses, add your answer – To reset your password, go to [link] and follow the instructions.
5. Save the intent.
Repeat for other common queries, for example.:
- Account setup
- Billing questions
- Feature usage
- Troubleshooting errors
Step 4: Test Your Bot
- Use the Try It Now chat box on the right side of Dialogflow.
- Type I forgot my password. → The bot should respond with your defined answer.
- Try other phrases to test coverage.
Step 5: Integrate with Your Support Channels
Dialogflow supports easy integration with:
- Website chat widgets
- Slack or Microsoft Teams
- Facebook Messenger
- Custom apps via API
For a website:
- Go to Integrations → Enable Web Demo → Copy embed code.
- Add the code to your website to enable the chatbot.
Step 6: Set Up Escalations
For questions your bot can’t answer:
- Create a Fallback Intent that replies: Sorry, I didn’t get that. Let me connect you to a human agent.
- Connect fallback to your live chat or ticketing system (e.g., Zendesk, Freshdesk).
Step 7: Monitor & Improve
- Use Dialogflow’s Analytics to see common questions and missed intents.
- Regularly update intents and training phrases to improve accuracy.
- Consider integrating with AI tools to automate content tagging and suggestions.
